Operations Manager - Office of Residential Education & Housing
Pay Status and Classification: Non-Exempt, Regular full-time (40 hours per week)
Supervisor: Associate Director for Housing Operations
Position Purpose: Utilizing a team approach, exercising sound judgment, and exemplifying a positive attitude, the Operations Manager manages the day-to-day operations of the Residential Education (ResEd)& Housing Office, including Greek Leadership and Minerva Programs. Serves as the main receptionist and interacts with students, student staff, parents, and other campus constituencies daily. Identifies and articulates student needs and collaborates with appropriate residential staff to provide an effective institutional response. Keeps sensitive information private and confidential. Supports the Associate Director of Housing Operations with all operational tasks associated with the office. Carries out the mission of Union College and the Division of Student Affairs.
This position works on site and primarily in person. Additionally, this position may involve occasional evening and weekend responsibilities.
Essential Responsibilities and Duties:
- Administration: Maintains a neat and orderly office environment, befitting a space used as a student resource center. Publishes and maintains an accurate directory of all ResEd staff. Coordinates and/or initiates calendar scheduling as requested; makes sure meeting attendees know the location or zoom link. Supports and implements logistics for ResEd programs and events (ex. catering, space reservations, set-up/tear down). Supports administrative processes such as move-in/out, residence transition periods, life & safety inspections, and roster verifications. Offers to pitch in to help colleagues during crunch times and overlapping deliverables. Provides administrative assistance (ex. calendar management, event support) to the directors, assistant vice president, and other students affairs administrators when needed or requested.
- Customer Service: Manages day-to-day operations (ex. answering phones, managing centralized emails, scheduling, monitoring work study students) for ResEd & Housing and other offices as needed. Opens and closes the office space in line with established hours. Provides initial consultation to student walk-ins and refers as appropriate. Responds quickly to any parent emails and calls as appropriate. Updates voice/email boxes to reflect hours, any special closings, announcements. Models and encourages an inclusive culture of customer service that respects individuals of any background or identity.
- Student Staff Supervision: Works with a designated supervisor to select, train, and supervise work 3 -15 part time student employees. Accounts for and approves student hours in designated online systems. Creates an office hour schedule and ensures student coverage.
- Project Management: Maintains a secure and accurate key system (ex. auditing, logging, ordering replacements). Connects with facilities and key shop contacts on key related items. Manages campus-wide laundry program, including audits and maintenance reports for entire residential areas. Serves as the primary point of contact for the laundry company and maintenance workers. Creates updates to existing laundry programs to ensure overall student satisfaction and reliability.
- Purchasing Support:Oversees processing payments and reconciliations. Tracks spending trends and recommendations as needed to support the budgetary health of the overall program. Supports purchasing through best practices and preferred vendors. Ensures appropriate inventory of supplies and makes orders as needed.
Qualifications:
- Bachelor's degree and/or two to four years of administrative experience, preferably in an educational or related environment, and/or a combination of relevant education, training, certifications, and/or work experience.
- Strong interpersonal and communication skills and ability to work independently in a fast-paced environment
- Ability to work a flexible schedule, including nights and weekends.
- Ability to work onsite in an office setting including ability to stand and sit for extended periods.
- Extensive computer skills, such as working knowledge of Microsoft Office and Excel, Google Suite (Gmail, Google Calendar, and Google docs).
- Ability to exercise exceptional judgment, ensure strict confidentiality, and demonstrate outstanding professionalism in a range of situations.
- Able to support, contribute to, and strengthen a vibrant, culturally diverse, and inclusive learning community of students, alumni, faculty, and fellow staff colleagues.

Compensation
The rate for this position is $24.00 - $26.25 per hour. Except for roles with a set rate of pay, the wage/salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. The stated hiring rate/range represents the College’s good faith and reasonable estimate of the rate/range of possible compensation at the time of posting.

Job Summary | The Program Administrator, Sr manages activities of the Center of Excellence in Digital Game Development at RPI, also known as the Digital Gaming Hub, administered through the Games and Simulation Arts and Sciences Program in the School of Humanities, Arts, and Social Sciences. Representative Job Duties | Some of the duties for this position include: Lead regular meetings with individual fundraisers to review prospect data, identify opportunities to advance cultivation, assess performance on overall goals, and progress within individual prospect portfolios. Guide individual fundraisers and development staff by providing recommendations for potential major donors for cultivation and solicitation. Analyze data to help drive prospect discovery and prioritize the top prospective donors for qualification by development staff. Job Summary | The Director of the Severino Center for Technological Entrepreneurship (the “Severino Center”) will work with the Assistant Vice President, RPIVentures (“RPIV”) and the Vice President, Office of Strategic Alliances and Translation (“OSAT”) in shaping and advancing the entrepreneurial ecosystem at RPI and the region. In collaboration with RPIV, they will develop a strategic vision for the Severino Center, aligning it with the Institute’s priorities and entrepreneurship programs. This includes fostering innovation, promoting collaboration, and ensuring RPI’s leadership in regional entrepreneurship and innovation. The Director will actively engage with the Deans of the School of Engineering and the Lally School of Management regarding the development of a modern entrepreneurship curriculum. They will also collaborate with faculty, students, industry partners, and community organizations to drive initiatives that support startups, technology transfer, and commercialization. Additionally, the Director will oversee program development, mentorship, and outreach efforts to empower aspiring entrepreneurs and foster a culture of innovation. |

Job Summary | The Economic and Industry Analyst will analyze and make recommendations for progress of the sustainable fashion industry, from farms and new materials to processing to brands and design, in New York State and in general (in the U.S. and worldwide). The Analyst will review and keep abreast of pertinent studies and research, and will seek information from industry data sources, carry out interviews and surveys, and analyze and interpret the information. The work is based at Rensselaer Polytechnic Institute as part of the Fashion Innovation Center (FIC). The Analyst will interact with FIC members and participants to learn about the industry, discuss sustainable fashion industry problems and potential solutions, consider ways to advance the industry in New York State, and document relevant information and findings in report, paper, and/or book form. The Analyst will also provide suggestions where relevant to innovative project participants in the FIC’s accelerator. The Analyst will work closely with the Center Director and other FIC members. |

Job Summary | The Sr. Business Manager reports to the Vice President of Information Services and Technology, and Chief Information Officer. This role is responsible for managing the business and financial operations of the portfolio including finance, budget, personnel, space and facilities planning, and oversight of all fiscal and operating protocols. The Sr. Business Manager will supervise and serve as a resource to department level business staff to ensure consistent practices that comply with Institute and Portfolio guidelines. Actively participate in the short and long range financial and performance planning of the school and lead the development of training for business staff. Represent the portfolio on business affairs to the Rensselaer Community and act as a central point of contact for the Division of the Chief Information Officer (DotCIO). |

Job Summary | The Director of Real Estate directs all activities associated with land management/leases; real estate revenue activities; building and land acquisition/sales; building and land appraisals; all Rensselaer property-related tax payments; Rensselaer tax exemption requirements; and special activities, that include leases and subleases of external facilities, fraternity/sorority land/building leases and finances; estate activities and community issues. The Director is responsible for leading real estate and economic development programs to attract diverse and innovative partners to engage on properties owned by the Institution both residential and commercial, inclusive of properties at Rensselaer Technology Park (RTP). This will comprise extensive collaboration with multiple portfolios including the Office of Strategic Alliances and Translation (OSAT), Provost, Student Life, OCEC, and Finance. The Director is responsible to develop programs to attract and maintain tenant occupants of RTP and create a self-funded real estate program. Programs that cultivate community and regional relationships and foster an exchange of ideas between community leaders, industry partners, researchers and students. The Director is responsible for all fiscal management of the RTP and real estate program including operating and capital budget development and financial controls to achieve goals. |

If you are an early-career professional seeking an administrative position within the mental health, human services, or community health industry, we are seeking a new Program Assistant for the Northern Rivers Youth ACT program based out of Queensbury, NY and would love to talk with you!
As a Program Assistant, you will be responsible for the administrative tasks of the program including: greeting clients and family members at the program site, assisting callers in accessing Youth ACT resources, managing referral lists and other program data. You will coordinate with team members to ensure that the program functions smoothly and meets the needs of clients and families. Youth ACT is a program that provides services for children with mental illness or serious emotional disturbance and their families through less traditional service delivery methods with an approach that is family-driven, youth guided, and developmentally appropriate. You will report to the Director of Youth ACT and you will work onsite.
Responsibilities:
- Respond to and direct calls to the appropriate staff and department from community partners and other agency staff while engaging with callers with a kind, caring, and positive attitude.
- Manage the referral, intake, treatment, and discharge process for the Youth ACT program on a daily basis.
- Schedule all necessary appointments by working collaboratively with the treatment team.
- Assist the Team Lead with auditing documentation for accuracy and completion
- Demonstrate proficiency in the electronic record keeping system through written progress notes, locating documentation, running reports, and completing billing needs
- Alert clinicians and prescribers when documentation is required.
- Scan paper documents over to responsible Care Associate or attach to appropriate participant Electronic Client Record
- Order office supplies.
- Assist with the onboarding of Youth ACT staff to ensure all supplies, sign on, and systems are set up for new staff.
- Review and distribute all incoming faxes and mail for Division.
Requirements and Education:
- Requires a High School Diploma or equivalent; Associate’s degree preferred.
- Three years of related experience
